Automated email signature
Automated email signatures for Google Workspace
Deploy branded Gmail signatures across your organisation from one place. CloudCard connects to your Google Workspace, writes every person’s signature into Gmail for them, and keeps it current when their details change. Nothing for staff to install.
This page covers Google Workspace and Gmail. On Microsoft 365? See email signatures for Outlook.
Email signatures are an add-on for Free and Pro, priced per user and shown at checkout, and are included with every Premium seat. See the full comparison.

The Gmail signature problem
Your signature is the last thing every recipient sees. In most companies on Google Workspace, every person sets their own.
Signatures set by hand
- A signature file forwarded around the office
- Everyone pastes their own version into Gmail settings
- Old titles and phone numbers still going out months later
- No link back to your card or your brand
A CloudCard signature
- One template, written into every Gmail account from a central place
- Nothing for staff to install, paste or get wrong
- A change in CloudCard is rewritten in Gmail automatically
- Your digital business card linked in every email
How Gmail signature deployment actually works
Nothing to install
CloudCard writes each person’s signature straight into their Gmail settings. No add-on, no extension, no snippet forwarded around the office.
One permission, granted once
Your Google Workspace super admin adds CloudCard under domain-wide delegation with the Gmail settings scope. That is the whole setup on Google’s side.
Always current
Change a title or number in CloudCard and the signature is rewritten in Gmail automatically, in the background. Nobody opens a settings page.
One template, every employee
Choose from five templates and lock the choice for the whole organisation, or let people pick their own from the approved set. The same templates serve Outlook.
Sent straight to your Google admin
CloudCard emails your super admin the client ID, the scope and the exact Admin console steps, so there is no separate setup guide to write.
A log you can act on
See every person’s deployment status, retry one that failed, and watch new starters pick up a signature as soon as they are assigned.
Connected to Google Workspace in three steps
- 1
Your Google super admin grants one permission
CloudCard emails them the exact steps: add CloudCard’s client ID and the Gmail settings scope under domain-wide delegation in the Google Admin console. Done once, for the whole domain.
- 2
Sign in with Google to link your domain
A CloudCard admin signs in with any account on your Google Workspace domain. That links your organisation to the domain and checks that the grant is working.
- 3
Choose the template and deploy
Pick the signature template for the organisation and deploy. Every assigned person’s signature is written into their Gmail, and the log shows who has one.
Email Signature Manager
Marketing controls the template. You choose who has one.
The Email Signature Manager is where marketing, or whoever looks after your brand, runs signatures for the whole company. Choose the template and lock it, set the banner, disclaimer and social icons once, and decide who has a signature.
Anyone in the organisation can be a signature user, with or without a digital business card. Central email signature management is included with Premium.
- Marketing or a manager controls the template centrally
- Lock one template for everyone, or approve a set to choose from
- Set the banner, disclaimer and social icons once, for everyone
- Decide exactly who has a Gmail signature
- No digital card licence needed to have a signature
A Gmail signature that updates itself
A CloudCard signature is connected to your CloudCard profile. Change your title, number or links once and the signature in Gmail is rewritten for you, in the background, without anyone opening Gmail settings.
New starters get a signature as soon as they are assigned one. Someone who leaves has the CloudCard signature cleared.
- Written into each person’s Gmail settings by CloudCard
- Rewritten automatically when a detail or the template changes
- One place to update your card and your signature
Deploy once, for everyone
Your Google Workspace super admin grants CloudCard domain-wide delegation for Gmail signature settings, once. A CloudCard admin then signs in with Google to link the organisation to your domain, chooses the template and deploys.
The deployment log shows exactly who has a signature, who is still waiting, and lets you retry anyone that failed.
- One permission, granted once in the Google Admin console
- CloudCard sends your super admin the exact steps
- Sign in with Google to link your domain
- A deployment log per person, with retry
On brand, every time
Pick from five templates, add a headshot or company logo and set the banner, disclaimer and social icons.
Lock the template for the whole organisation, or let people choose from the approved set. The signature scales cleanly on phones, tablets and desktops.
- Five templates, locked or chosen from an approved set
- A headshot or your company logo
- A banner, a disclaimer and social icons
- Looks right on mobile and desktop
The signature is the last thing they see.
Every email out of the company ends the same way: your name, your title, your card. Change a detail in CloudCard and Gmail is updated for you, with no snippet forwarded around the office and no settings page to find.
- Your name, your title and your card, on every email
- Rewritten in Gmail when you change a detail in CloudCard
- Nobody pastes an HTML snippet into their settings
What CloudCard can and cannot do in your Google Workspace
The permission is scoped to Gmail signature settings. Here is exactly what that means.
CloudCard cannot
- Read anyone’s email
- Send email as anyone
- Delete email or change filters, forwarding or passwords
- Keep a Google password or sign-in token
CloudCard can
- Set the Gmail signature of people you assign, on your domain only
- Rewrite a signature when details or the template change
- Clear its own signatures when you disconnect, if you ask it to
- Be removed by your super admin in the Admin console at any time
Who it is for
Google Workspace administrators
One permission in the Admin console, scoped to Gmail signature settings, and nothing to install on anyone’s machine.
Marketing and brand teams
Make sure every email that leaves the company carries the same brand, from one template you control.
Sales teams
Put your card and contact details in front of every recipient, with no one editing a Gmail signature by hand.

Google Workspace email signature questions
Does CloudCard manage email signatures for Google Workspace and Gmail?
Yes. CloudCard connects to your Google Workspace and writes a branded signature into each assigned person’s Gmail settings. When their details or the template change, the signature is rewritten automatically in the background.
Do staff need to install anything in Gmail?
No. There is no add-on, extension or snippet to paste. The signature is set in each person’s own Gmail settings by CloudCard, so it is simply there when they write an email.
What permission does CloudCard need in Google Workspace?
One. Your Google Workspace super admin adds CloudCard under domain-wide delegation in the Admin console, with the Gmail settings scope only. CloudCard emails them the exact steps. With that permission CloudCard cannot read, send or delete email, and it keeps no Google password or sign-in token.
Do Gmail signatures update automatically?
Yes. Change a title, number or link in CloudCard, or change the template, and the affected signatures are rewritten in Gmail automatically. People who are newly assigned get a signature; people who are removed have the CloudCard signature cleared.
Who manages the signatures?
Marketing, or whoever you choose, uses the Email Signature Manager to control the signature template and decide who has a signature. Your Google Workspace super admin only grants the permission once. Central email signature management is included with Premium.
What does it cost?
The same as for Microsoft 365. Email signatures are included with every Premium seat. On Free and Pro they are an add-on, priced per user, with the price shown at checkout.
Can anyone in the organisation have an email signature, or is it just for digital card users?
Anyone can have an email signature. You do not need a digital card licence in order to purchase one.
Does it work with Microsoft 365 and Outlook too?
Yes. For Microsoft 365, CloudCard uses an Outlook add-in that reads the live signature when you compose. Both platforms share the same templates and the same Email Signature Manager, so a company on both is managed from one place.
What happens if we stop using CloudCard?
Disconnect Google Workspace in CloudCard and choose whether to leave the current signatures in place or clear them. Your super admin can also remove CloudCard from domain-wide delegation at any time, which ends its access immediately.
Can each person choose their own template?
You decide. Lock one template for the whole organisation, or let people choose from the set you have approved.
Can I add a banner, a disclaimer and social icons?
Yes. Your signature settings include a banner, a disclaimer and social icons, alongside the template and your logo or headshot.
